The Passport Awards ("we") runs the annual awards honouring travel creators. We are the data controller for information collected through thepassportawards.com. Contact: hello@thepassportawards.com.
When you nominate a creator we collect your name and email address so we can process the nomination, and the creator's public profile details so we can list them. When you vote we collect your email address to enforce one vote per email in each category, plus a technical hash of your connection used only to prevent automated vote flooding; we cannot reverse it into your address. When you join a mailing list or tick an updates box we collect your email and role so we can send you the news you asked for. We record which channel a vote arrived from (for example WhatsApp or X) to understand where our audience is.
We process nomination and voting data because it is necessary to run the competition you are choosing to take part in (legitimate interests and, where relevant, contract). We send marketing email only with your consent, given by an unticked box, and you can withdraw it at any time using the unsubscribe link in any email or by writing to us.
Our ceremony operations, judging administration and ticketing run on Accolade, our awards platform, which processes data on our behalf under contract. We do not sell your data. Where a partner sponsors a category, we only share personal data with them if you have separately and explicitly consented to that.
Voting records are kept for the awards cycle and for a reasonable period afterwards for audit of the result, then deleted or anonymised. Mailing list data is kept until you unsubscribe. Nominee listings remain published as part of the historical record of each edition unless the creator asks us to remove them.
You can ask for a copy of your data, ask us to correct or delete it, object to processing, or complain to the Information Commissioner's Office (ico.org.uk). Email hello@thepassportawards.com and we will respond within one month.
